Position Overview:

The Operations Support Specialist is responsible for the coordination, oversight, and completion of timely fleet graphics installations. This role works closely with internal sales, design, print and installation teams as well as external vendors.

Principal Duties and Responsibilities (Essential Functions):

  • Collaborates with other departments to ensure successful project completion.
  • Acts as primary internal and client contact to keep informed on project deliverables and progress.
  • Reviews orders for accuracy and processes pertinent order information.
  • Efficiently and effectively manages order entry workflow.
  • Gathers and completes documentation necessary to keep project(s) on schedule within the ERP system.
  • Identifies, negotiates with, secures, and schedules sub-contractors for projects.
  • Fosters strong, long-term working relationships with sub-contractors.
  • Manages the internal installation schedule in collaboration with customer, sales, installation team, and sub-contractors to meet standard lead times.
  • Responds to customer concerns and provides excellent customer service during and after installation.
  • Manages POs and vendor invoices in coordination with the finance team.
  • Contributes to team effort by accomplishing related tasks as assigned.
  • Works with other internal departments on process improvement.
Requirements

Qualifications & Skills

  • High School Diploma or equivalent required; bachelor’s degree or equivalent experience strongly preferred.
  • Microsoft Excel, Microsoft Word, Microsoft Outlook, and Teams knowledge required.
  • Understanding of project management principles and best practices.
  • Strong planning, organizational, and time management skills.
  • Ability to quickly pivot in a fast-paced environment.
  • Strong verbal and written communication skills
  • Customer service oriented.
  • Ability to work independently or in a team.
  • NetSuite knowledge is considered a plus.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
