Job Description
The Genetic Counseling Assistant II supports the Genetic Counselors and clinical staff within the Precision Health Program by serving as a central point of coordination and guidance for patients referred for genetic counseling and high-risk cancer screening. This role combines administrative support with patient navigation responsibilities to ensure a seamless, supportive experience from referral through results and follow up care. The Genetic Counseling Assistant II assists with medical record collection, patient communication, data tracking, scheduling coordination, and disclosure of negative genetic test results under established protocols, while helping patients understand next steps and access appropriate services. The Genetic Counseling Assistant II is the main assistant for point-of-care testing providers and assists with education, scheduling, patient management, and referral follow-up.
Responsibilities
Serve as a primary contact for patients referred to genetic counseling and high-risk cancer services.
Guide patients through scheduling, testing processes, and follow up care plans.
Answer patient phone calls and portal messages regarding appointments, testing, and clinic services.
Assists with scheduling and the check-in process for the Point of Care genetic clinic.
Make follow up calls to support timely scheduling and continuity of care.
Provide clear, empathetic communication and reinforce next step instructions.
Assist patients in understanding logistics related to genetic counseling and screening pathways.
Collect and organize medical records from outside providers and facilities.
Send genetic test results and consult notes to referring physicians as requested.
Assist with prior authorization documentation and insurance communication.
Disclose negative genetic test results to patients using approved scripts and clinical guidance.
Facilitates patient education prior to POC testing appointment.
Maintain accurate documentation within the electronic health record
Track clinic volumes, referral sources, testing outcomes, and program metrics.
Support reporting needs and quality improvement initiatives within Precision Health.
Perform additional duties as assigned to support clinic operations, and patient access
All other duties as assigned.
Qualifications
EDUCATION: High School Diploma or equivalent required.
Bachelor’s degree in a health related or administrative field preferred.
YEARS OF EXPERIENCE: 1 year of health care experience required; preferably in a genetic counseling office setting.
REQUIRED SKILLS AND KNOWLEDGE: Ability to work autonomously or within a team, completion of department orientation and orientation provided training, ability to follow written or verbal instruction effectively; willingness to work under supervision; ability to communicate with patients over the phone and discuss basic genetic counseling concepts; empathy and sensitivity when conveying information; ability to use Microsoft software (specifically Excel and PowerPoint). Experience with Epic preferred.
