Our Headquarters Claims department seeks an executive secretary. This role is responsible for providing personalized administrative support to the senior vice president, as well as assisting with daily department operations. This position requires skills in executive report preparation, task management and prioritization, internal and external customer relations, and advanced knowledge of word-processing applications, spreadsheets, databases and PowerPoint. This position is based at our Headquarters in Fairfield, Ohio.
Starting pay: The pay range for this position is $65,000-$75,000. Pay is based on the applicant’s education, experience, location, knowledge, skills and abilities. Eligible associates may also receive an annual cash bonus and stock incentives based on company and individual performance.
Be ready to:
- prepare reports with detailed narratives and supporting data for the Executive Committee and Board of Directors
- prepare and process monthly reports as needed
- gather data from various systems to analyze information
- manage all lawsuit filings and direct them to the appropriate departmental region
- provide administrative and clerical support to associates in the department
- manage the associate employment process, including status changes, onboarding new associates, posting job openings in the recruiting system and creating staffing/headcount reports for the department
- maintain electronic and paper records to ensure information is organized and easily accessible
- receive and administer all insurance department complaints including communicating with Regulatory, Corporate Legal and Policyholder Experience
- manage and respond to social media posts related to claims
- manage the annuity/structured settlements process, documentation and recording of contracts
- support the leadership team with daily activities as requested
- assist with and process individual associate expense account reporting
- monitor executive’s Outlook email inboxes and meeting schedules
- handle and prioritize all outgoing or incoming correspondence (email, letters, packages, etc.)
- screen phone calls and redirect them when appropriate
Be equipped with:
- proven experience as an executive secretary or similar administrative role (preferred)
- proficiency in Microsoft® Office, including PowerPoint, Excel and Word, with the ability to create on-demand reports
- knowledge of office management and technical vocabulary
- excellent organizational, problem-solving and time-management skills with the ability to work independently
- outstanding communication skills
- integrity and confidentiality
Bring education and experience from:
an associate or bachelor’s degree (preferred) or commensurate experience in executive administration and assistance
