Executive Assistant I – Traditional Upward Bound (TUB) – Operations Specialist

Overview: Executive Assistant I – Operations Specialist: The Cincinnati State Technical & Community College TRIO Upward Bound (TUB) program is funded by a grant by the United States Department of Education to the College and is one of two TRIO programs.
The role of the Executive Assistant I - Operation Specialist is to serve the needs of the program and the TUB participants along with the Academic Specialist. The Mt. Healthy after school TUB program offers services and programming during both the academic year and the summer.
The work schedule includes but is not limited to: Mondays and Wednesdays, 9:00am to 5:30pm (1:00pm until 5:30pm at Mt. Healthy High School); Tuesdays, Thursdays and Fridays at Cincinnati State’s Clifton campus from 8:00 am – 4:30 pm during the academic year. The summer component brings the TUB participants to Cincinnati State’s Clifton campus for instruction in math, science, composition, and other related subjects. The summer program work schedule includes but is not limited to: Monday – Friday from 7:30 am – 3:30 pm at Cincinnati State’s Clifton campus. The last week of the TUB summer program is designated for a college tour serving as a chaperone for the TUB participants. The Executive Assistant- Operations Specialist will be required to work some evening and/or weekend hours, as needed, to accomplish grant and program objectives.
The Executive Assistant I – Operation Specialist will work with the Academic Specialist and Upward Bound participants individually and in groups, primarily at Mt. Healthy High School after school program. When not scheduled at Mt. Healthy High School, the Executive Assistant I- Operations Specialist will work from the TUB offices located on Cincinnati State’s Clifton campus.

Essential Duties:

  • Participate in recruitment activities at Mt. Healthy school district service areas.
  • Assist in the coordinating, planning, and implementing TUB Grant program deliverables.
  • Operation Specialist will coordinate the daily administrative & support functions for the Mt. Healthy Upward Bound Program in conjunction with the Academic Specialist
  • Participate in all TUB activities in the after school and summer program
  • Document and maintain records of the TUB program at Mt. Healthy High School on appropriate platforms
  • Provide customer service to students, staff, administrators and guest via telephone and email
  • Maintain accurate student information and confidentiality
  • Collaborate with Academic Specialist to order and maintain inventory of supplies and materials
  • Operate and/or supervise the operation of all office equipment
  • Assist in TUB data collection of grant deliverables and maintain reporting documents
  • Participate and chaperone TUB college and cultural tours/activities which will include evening and occasional overnight trips.
  • Follow all college policies and procedures
  • Perform other duties as assigned by the supervisor

Minimum Qualifications:

  • 5 years’ work experience in a professional office or high school setting
  • Proficient in using Microsoft Office software i.e., Word, Outlook, PowerPoint, and Excel
  • Ability to handle a high volume, multiple task environment
  • Highly-developed Customer Service Skills

Preferred Qualifications:

  • Associate’s degree
  • Experience working in support of an academic program, department, or division
  • Specialized training in office technologies and/or software
  • Experience with Microsoft Suites and other digital platforms
  • Experience with Blumen
