Academic Records Coordinator
Overview:
Cincinnati State Technical and Community College seeks a full-time Academic Records Coordinator, reporting to the College's Assistant Registrar. Under general supervision of the Assistant Registrar, the Coordinator will be responsible for processing a variety of essential academic documents related to student enrollment, academic progress, and graduation. The Coordinator’s role is intrinsic to College's student-centered philosophy and commitment to developing human potential, one student at a time.
Essential Duties:
- Maintenance of various student academic records for Cincinnati State including academic reassessment, grade/transcript change, transfer module, and post term/semester processes
- Process petitions for academic reassessments, advanced standing, course substitutions & waivers, complete program withdrawals, late withdrawals, and student status changes.
- Lead efforts in direct customer service and communication to students, faculty, staff, and college community for all graduation and academic records operations and processes that are responsible with this position
- Manage the graduation application and distribute lists of potential graduates to the divisions for review.
- Assist the Registrar and Assistant Registrar with Commencement communications, tickets, venue setup, etc.
- Maintain electronic files, process paperwork, prepare reports and fulfill information requests
- Daily communicate with staff, administrators, and faculty in Admissions, Advising, Divisional Offices to solve student issues in a timely and effective manner via phone, email, text or in-person
- Cross train in other Registrar area operations
- Assist in direct customer service for general Registrar operations and processes and serve as backup for the customer service line
- Other duties as assigned
Minimum Qualifications:
- Bachelor's degree from an accredited college or university
- Three years general clerical/administrative support experience
- Proficiency with Microsoft Office product
Preferred Qualifications:
- Customer-service experience with a variety of stakeholders and constituents in a higher education setting.
- Knowledge of academic policies and procedures (e.g., graduation, degree audits, maintenance of general academic records and program curricula, commencement)
- Experience with Student Information Systems, preferably Ellucian Colleague, Microsoft Office Suite, Imaging software, Reporting software, AI Transcript Data Automation software.
