Executive Assistant I - Registrar’s Office Overview: The Executive Assistant I will assist with the day to day administrative and support functions for the Office of the Registrar. The Executive Assistant I will collaborate with other Registrar office personnel to ensure smooth operations and optimal service to students, faculty, and visitors. The environment is fast-paced and student-focused. The schedule may vary depending on office needs during peak enrollment periods. Essential Duties: - Greet and provide high-quality customer service experience to all visitors and students by responding to general Registrar Office (RO) questions or by directing them to the appropriate person
- Assist new and continuing students with all RO processes, as well as provide referrals to Admissions, Financial Aid, Bursar, Advising, etc.
- Guide students, faculty, or staff through the RO website and Self-Service features/activities
- Answer telephone calls and direct them to the appropriate person or take a message as required
- Monitor and respond to general office email and voicemail messages or direct them to the appropriate person
- Complete approved student exception requests in Colleague
- Process in-person transcript requests in Colleague and the National Student Clearinghouse
- Scan required office documents into Perceptive Content
- Send office text messages

- Responsible for the distribution of outgoing and incoming office mail
- Submit work order requests on behalf of faculty and staff
- Train and assist in supervision of student employees
- Establish annual goals relevant to job expectations consistent with the goals of the College and Division

- Maintain general supplies and office forms
- Provide administrative support to the office
- Contribute to ongoing process improvement and refinement to ensure the optimal customer/student experience.
- Other appropriate duties as assigned
Minimum Qualifications: - High School Diploma or equivalent
- Two (2) years of customer service experience
- Competency in the Microsoft Office Suite.
- Ability to work in person 8:00 a.m.- 4:30 p.m. with flexibility which might include opening office as early as 7:30 a.m. or closing the office as late as 6:00 p.m. and occasional evenings/weekends during peak enrollment periods
Preferred Qualifications: - Associate's degree from an accredited college
- Four (4) years customer service experience in higher education especially a community college setting.
- Experience with Ellucian Colleague, Perceptive Content, Microsoft Outlook and Teams
