EXECUTIVE ASSISTANT II (GRADE 18) ~ OFFICE OF COLLEGE CREDIT PLUS
The Executive Assistant II will coordinate the day-to-day administrative and support functions for the Manager and Office of College Credit Plus. The Executive Assistant II provides guidance and collaborates with other administrative support personnel to ensure smooth operations and administrative support for the implementation of the CCP program.

DUTIES AND RESPONSIBILITIES:

  • Researches, initiates and processes student records within defined area of responsibility.
  • Assist in the compilation and curing of internal and external reports.
  • Maintain CCP records and files, including those of confidential and restricted nature.
  • Maintain term by term enrollment and grade reporting systems in collaboration with partner school districts.
  • Support Enrollment Services by facilitation of student admission record processing.
  • Collaborate with Academics and other administrative units of the College.
  • Represent the College and Office of College Credit Plus by participating in CCP events, must have evening and weekend availability.
  • Engages proactively in timely communications with internal and external stakeholders to ensure accuracy of student records, course scheduling, and other administrative responsibilities.
  • Provide superior customer service to students, staff, administrators, and guests of the college via telephone, email, and in-person.
  • Train, supervise, and maintain records for work study student workers and student co-op placements within the Office.
  • Initiate, for approval by Manager, payments and expenditures.
  • Receive visitors, answer telephones, and relay messages.
  • Operate and/or supervise the operation of all office equipment, ensure maintenance of equipment, and order supplies as needed.
  • Coordinate meetings and events for the Manager.
  • Perform other duties as assigned.

MINIMUM QUALIFICATIONS:

  • Associate’s degree from an accredited college or university.
  • Strong data management orientation. Ability to work and keep track of large fields of data.
  • Proficient in Microsoft Office software (i.e., Word, Outlook, PowerPoint, and Excel).
  • Highly-developed Customer Service Skills.
  • May be needed to travel and work at other Cincinnati State locations.
  • Some nights/weekend work may be necessary depending on workload.
  • If any physical labor such as moving items is needed, it would not be any more than 20lbs for a very short period of time.

PREFERRED QUALIFICATIONS:

  • Bachelor’s degree from an accredited institution of higher education
  • 3 years’ experience working in an educational environment in support of an academic program, department, or division.
  • Experience working with Ellucian Colleague enrollment management system.

Compensation: $21.75 per hour
