General Statement of Duties

We are seeking a motivated and detail-oriented IT Co-op to support our team in gathering business requirements, mapping processes, identifying opportunities to optimize workflows, and documenting procedures. This role will also involve training staff on how to effectively utilize Office 365 tools to improve efficiency.
As an integral part of our IT team, the successful candidate will gain hands-on experience in business process analysis, process automation, and end-user training while contributing to the digital transformation of our organization.
Interns/Co-ops/Externs for the City of Cincinnati may perform duties in any potential field within the City’s structure. These fields may include office level work/assignments, field work, and/or civic services. The nature of the work will be based on areas of interest, degree program, or organizational need. Candidates should have the ability to multitask in a fast-paced environment. Minimum Qualifications (KSAs)

Key Responsibilities
Business Process Analysis & Improvement Microsoft Office 365 Utilization & Training
Process Documentation & Support
- Work with various departments to gather business requirements and understand current workflows.
- Map existing processes and identify inefficiencies or pain points.
- Research and recommend ways to streamline processes using Office 365 tools (e.g., SharePoint, Power Automate, Teams, OneDrive, Forms, Lists, etc.).
- Assist in implementing process improvements using technology-driven solutions.
- Explore and develop use cases for Office 365 applications to enhance productivity and collaboration.
- Assist in configuring and optimizing Office 365 tools to meet business needs.
- Create user-friendly guides, tutorials, and training materials for Office 365 applications.
- Conduct training sessions and workshops to educate staff on best practices for using Office 365 effectively.
- Document current and improved processes, including detailed workflow diagrams and procedural steps.
- Maintain an organized knowledge base of IT processes and Office 365 best practices.
- Provide basic technical support related to Office 365 and assist users with adoption challenges.
Required Education and Experience

In order to qualify for the Intern/Co-op/Extern Program, a student must:
- Be a U.S. citizen, lawful permanent resident, or a non-citizen with proof of eligibility to work in the United States
- Individuals under eighteen will require a work permit
- Be enrolled in an accredited institution
- Submit a City job application for employment
Additionally:- Must be currently pursuing a degree/diploma in IT, Business, Computer Science, or a related field
- Must have strong understanding of Microsoft Office 365 applications (SharePoint, Power Automate, Teams, etc.)
- Must have excellent analytical and problem-solving skills to assess business needs
- Must have strong written and verbal communication skills to document processes and train staff
- Must have the ability to work collaboratively and interact with stakeholders across various departments
Some preferred qualifications include:- Experience with process mapping tools (e.g., Visio, or Microsoft Whiteboard)
- Basic knowledge of workflow automation tools (e.g., Power Automate, Power Apps)
- Previous experience in business analysis, process improvement, or training is an asset
