About the Role

We are seeking a professional, highly organized, and proactive Personal Assistant to provide comprehensive personal and administrative support to the Managing Director.

This role is critical to ensuring the Managing Director’s effectiveness, smooth daily operations, and efficient communication across the organization. The position requires a high level of discretion, strong organizational skills, and the ability to manage multiple priorities in a fast-paced, international environment.


Key Responsibilities

  • Provide comprehensive personal, administrative, and organizational support to the Managing Director.
  • Manage the executive calendar, meetings, calls, and business communications.
  • Prepare reports, presentations, correspondence, and briefing materials for internal and external meetings.
  • Coordinate interactions with internal departments, the DHL Network, partners, and external stakeholders.
  • Ensure effective document management and control of incoming and outgoing correspondence.
  • Organize business travel and provide visa support for the Managing Director.
  • Handle administrative and office-related matters related to the Managing Director’s activities.
  • Support internal communications and employee engagement initiatives.
  • Organize corporate events, conferences, and volunteer activities.
  • Perform ad hoc, confidential, and personal assignments on behalf of the Managing Director.

Requirements

  • Proven experience as a Personal Assistant / Executive Assistant to senior management or in a similar role.
  • Excellent organizational, communication, and multitasking skills.
  • High level of discretion and strong attention to detail.
  • Fluency in Russian and English (written and spoken).
  • Ability to work effectively in a multicultural, matrix organization.
