We are the captive Shared Service Provider for DHL Global Forwarding and DHL Freight (DGFF). We are an organization of more than 5,200 colleagues complemented by approximately 500 virtual FTE (i.e., bots applied in process automation). Our colleagues are based across six service delivery centers in Mumbai, Chennai, Chengdu, Manila, Bogota & Budapest. You will interact with people from all over the world and get the chance to a truly international organization.

Key Responsibilities

Team Leadership & People Management

  • Lead, coach, and develop a team of OMS Specialists/Analysts to ensure high performance and continuous professional growth.
  • Conduct regular performance reviews, development discussions, and provide ongoing feedback and coaching.
  • Manage resource planning, workload distribution, and team capacity to ensure operational efficiency.
  • Support recruitment, onboarding, and talent development activities within the team.
  • Foster a collaborative, customer-focused, and high-performance team culture.
  • Drive employee engagement initiatives and ensure alignment with DHL values and leadership expectations.
  • Act as the first escalation point for team-related operational and performance matters.

Project & Implementation Management

  • Lead and coordinate OMS implementation projects from initial analysis through deployment and project closure.
  • Set up booking and billing processes for customer operations.
  • Align operational processes with nominated forwarders, carriers, and system integrations.
  • Collaborate with technical teams and business stakeholders throughout the development lifecycle.
  • Manage implementation timelines, risks, dependencies, and stakeholder expectations.
  • Conduct and oversee User Acceptance Testing (UAT), Data Entry Instructions (DEI), reviews, and sign-offs.
  • Manage post-implementation hypercare activities and ensure smooth transition into BAU operations.
  • Facilitate vendor onboarding, including vendor registration, operating procedure creation, and training delivery.

Stakeholder & Process Management

  • Build and maintain strong relationships with DHL managers, regional leaders, country stakeholders, and external service providers.
  • Document solutions, decisions, and process changes for stakeholder approval.
  • Drive alignment across functions and influence stakeholders to adopt new concepts, processes, and solutions.
  • Escalate risks, issues, and blockers appropriately while ensuring timely resolution.
  • Report project status, risks, and key updates to senior stakeholders.
  • Act as a key contact for technical and process-related issues.

Continuous Improvement & Technical Excellence

  • Create and maintain process documentation and training materials.
  • Deliver training sessions and knowledge-sharing activities for internal users.
  • Maintain and implement robust technical standards, systems, and operational processes.
  • Support data mapping activities across multiple systems and applications.
  • Ensure compliance with DHL governance standards and implementation methodologies.
  • Identify opportunities for process optimization, automation, and operational excellence.

Required Skills & Experience

  • Minimum 3 years of experience in implementation, transformation, or process improvement projects.
  • Previous experience in leading, coaching, or developing teams is preferred.
  • Strong people management and stakeholder management skills.
  • Proven project management experience, ideally within an Agile environment.
  • Ocean Freight knowledge is mandatory.
  • Experience with CargoWise One is considered a strong advantage.
  • Experience managing regional or cross-functional projects.
  • Strong understanding of software systems, integrations, and data mapping concepts.
  • Knowledge of EDI mappings and shipment documentation.
  • Strong analytical and problem-solving skills.
  • Excellent English communication skills, both written and verbal.
  • Ability to effectively manage senior internal and external stakeholders.
  • Knowledge of DHL governance processes is an advantage.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
