| Position Overview: |
The Operations Executive / Senior Operations Executive – Fleet Operations is responsible for supporting the day-to-day management of regional fleet operations by ensuring vehicle availability, network connectivity and efficient execution of surface transportation across the assigned region. The role coordinates closely with hubs, service centres, transport vendors and linehaul teams to ensure reliable fleet deployment, schedule adherence and operational continuity.
Reporting to the Regional Fleet Manager, the incumbent monitors fleet utilisation, vehicle performance, route execution and operational compliance while supporting cost optimisation and service quality initiatives. The role plays a key part in ensuring timely movement of shipments across the surface network through effective fleet planning, vendor coordination and operational governance.
| Job Purpose: |
To support regional fleet operations by ensuring optimum vehicle availability, efficient fleet utilisation, timely execution of linehaul schedules and compliance with operational standards, while driving service reliability, productivity and cost-effective transportation across the assigned region.
| Key Roles & Responsibilities: |
Fleet Operations Management
- Support the day-to-day execution of regional fleet operations across hubs, branches and service centres.
- Coordinate vehicle deployment to ensure uninterrupted movement of shipments across the surface network.
- Monitor fleet availability and utilisation to support daily operational requirements.
- Ensure adherence to planned transportation schedules and operational commitments.
- Support the Regional Fleet Manager in achieving fleet performance, productivity and service objectives.
Fleet Planning & Network Coordination
- Coordinate vehicle placement and movement in line with scheduled milk runs, feeder routes and linehaul operations.
- Monitor route adherence, dispatch schedules and turnaround times to ensure timely network connectivity.
- Coordinate with Hub Managers, Branch Operations and Network Operations teams to optimise fleet deployment.
- Support contingency planning during network disruptions, seasonal peaks and operational emergencies.
- Monitor capacity utilisation and recommend improvements to optimise fleet efficiency.
Transport Vendor Management
- Coordinate with transport vendors to ensure timely availability of vehicles as per operational requirements.
- Monitor vendor performance against agreed service levels, schedules and operational commitments.
- Support onboarding, documentation and compliance of transport vendors in line with organisational requirements.
- Ensure timely communication with vendors regarding operational changes, route requirements and service expectations.
- Escalate vendor performance issues and support implementation of corrective actions.
Fleet Performance & Operational Control
- Monitor fleet utilisation, vehicle turnaround times and transportation performance across the assigned region.
- Track delays, vehicle breakdowns, route deviations and service disruptions, ensuring timely resolution.
- Coordinate with operational teams to minimise transportation delays and improve network reliability.
- Ensure timely updates of fleet movement and transportation status within operational systems.
- Support initiatives aimed at improving fleet productivity, route efficiency and transportation costs.
Fleet Compliance & Operational Governance
- Ensure fleet operations comply with organisational policies, transportation SOPs and statutory regulations.
- Monitor validity of vehicle documentation, permits, insurance, fitness certificates and statutory compliance in coordination with transport vendors.
- Support implementation of road safety initiatives and fleet governance standards across the assigned region.
- Ensure operational documentation and transportation records are maintained accurately and updated in a timely manner.
- Escalate operational risks, compliance deviations and service issues to the Regional Fleet Manager.
Service Quality & Operational Excellence
- Monitor transportation service performance against defined operational KPIs and service level agreements.
- Analyse transportation delays, route deviations, transit exceptions and operational bottlenecks, recommending corrective actions.
- Support implementation of process improvements to enhance fleet productivity, vehicle utilisation and network efficiency.
- Coordinate with cross-functional teams to improve shipment movement, transit reliability and customer service performance.
- Drive adherence to operational best practices and continuous improvement initiatives across the regional fleet network.
MIS, Reporting & Performance Monitoring
- Prepare daily, weekly and monthly fleet performance reports for the assigned region.
- Monitor fleet utilisation, route productivity, vehicle turnaround time, transportation costs and service performance metrics.
- Analyse operational trends and provide insights to improve fleet planning and transportation efficiency.
- Maintain accurate operational dashboards and fleet-related MIS to support management decision-making.
- Support periodic reviews of fleet performance, vendor productivity and operational effectiveness.
Cross-functional Coordination
- Collaborate with Regional Operations, Hub Managers, Branch Operations, Network Operations and Procurement teams to ensure seamless fleet execution.
- Coordinate with Security and Safety teams to ensure adherence to transportation safety standards.
- Support implementation of new transportation initiatives, network changes and fleet optimisation projects.
- Participate in operational reviews and contribute towards improving regional transportation performance.
- Foster strong working relationships with internal stakeholders and transport partners to ensure uninterrupted operational support.
| Qualifications & Experience: |
Education:
- Bachelor's Degree in any discipline.
- Certification or Diploma in Logistics, Supply Chain Management, Transportation Management or Operations Management will be an added advantage.
Experience:
- 3–5 years of experience in fleet operations, transportation, linehaul, logistics or supply chain operations.
- Experience in coordinating regional fleet operations, transport vendors and vehicle deployment within a high-volume logistics environment.
- Exposure to transportation planning, route management, vehicle utilisation and operational performance monitoring.
- Experience in working with transport management systems, fleet tracking tools and operational MIS.
- Strong understanding of transportation compliance, fleet productivity and logistics operations across a regional network.
