Position Overview:

The Senior Executive – Centralized Accounts Payable is responsible for managing end-to-end vendor invoice processing and payment coordination for PAN India operations from HQC.

The role ensures standardization, compliance, and efficiency in accounts payable processes across regions, while supporting centralized governance, audit readiness, and process optimization.

Job Purpose:

To ensure accurate, timely, and compliant processing of vendor invoices and payments through a centralized accounts payable framework, enabling strong financial control, vendor satisfaction, and process standardization across the organization.

Key Roles & Responsibilities:

Centralized Invoice Processing

• Process vendor invoices in line with defined SOPs and approval workflows

• Ensure accurate coding, classification, and booking of expenses

• Maintain centralized control over invoice receipt, validation, and posting

Vendor Payment Management

• Coordinate with treasury/payment desk for timely vendor payments

• Ensure adherence to agreed payment terms

• Track and manage payment schedules across regions

Standardization & Governance

• Drive uniform AP processes across all regions

• Ensure adherence to centralized SOPs and approval matrices

• Monitor compliance with internal controls and audit requirements

Vendor & Stakeholder Management

• Act as central SPOC for vendor queries and escalations

• Coordinate with Procurement, Finance, and Operations teams

• Ensure timely resolution of invoice and payment discrepancies

GST & Compliance

• Validate GST compliance for all invoices (ITC eligibility)

• Support GST reconciliation and statutory requirements

• Ensure compliance with MSME and regulatory norms

Audit & Controls

• Support internal and statutory audits

• Maintain audit-ready documentation and trails

• Ensure closure of audit observations

Month-End & Reporting

• Support month-end closing activities related to AP

• Reconcile vendor balances and payable accounts

• Provide centralized MIS and reporting

Process Improvement & Automation

• Identify process gaps and inefficiencies

• Support automation and digital initiatives in AP

• Drive continuous improvement in turnaround time and accuracy

Qualifications & Experience:

Education:

• B. Com (mandatory)

• M. Com / MBA (Finance) preferred

Experience:

• 2 – 4 years
• Experience in centralized AP / shared services environment preferred

Skills & Capabilities:

Technical Skills:

• Strong understanding of Accounts Payable processes

• GST knowledge

• ERP exposure (SAP / Oracle)

• Strong Excel skills
