Position Summary: Responsible for providing administrative support through a variety of tasks related to organization and communication. Job Responsibilities: - Manage phone calls, emails, faxes, and mail for the Florence Campus. Schedule intake meetings as appropriate for all programs onsite. Manage waitlists and serve as the main contact for clients/families at the Florence campus.
- Assists with meetings, including distribution of meeting reminders, preparing materials, scheduling, hospitality/greeting visitors, decorations, and taking/preparing minutes as assigned.
- Provides guidance and problem solving to support effective use of business software.
- Serves on cross division teams and committees as assigned.
- Orders equipment /supplies and completes purchasing request as assigned.
- Uses record keeping system and procedures to collect data, organize, and maintain department files and information.
- Gathers and summarizes weekly and end-of-month service data and provides reports to department leaders.
- Design and develop Power Point presentations, as assigned.
- Conducts research and compiles data as requested by the campus leaders.
- Assists in researching information to support administrative needs and projects.
- Provides support as needed during all audits external and internal.
- Develops and maintains an inventory of equipment, furnishings, and materials.
- Tracks department expenses, purchase requests and reimbursements and provides reports to the directors.
- Provide general support to visitors, volunteers, and outside providers.
- Completes any required training.
- Cover program staff for breaks and/ or meetings, as needed.
- Provides dietary and meal services including, but not limited to, preparation and distribution to classrooms in accordance with CACFP regulations.

- Proficiency in MS Office.
- Computer Skills including a working knowledge of Microsoft office, internet software and database programs. Able to accurately enter data into a database, search for information, send and receive email and attachments.

Education/Qualifications: - High school diploma or equivalent
- Course work or certification in business office skills preferred.
- Proven administrative or assistant experience.
