Position Summary Responsible for ensuring Adult Services is in perpetual compliance with all regulatory, accreditation, and licensing requirements through developing and maintaining administrative records for the department and all individuals served. This position also coordinates and supervises all administrative operations for Adult Services, including direct oversight of the Receptionist and Administrative Assistant. Responsibilities include work assignment, training, guidance, performance feedback, and ensuring consistency, accuracy, and professionalism across all administrative functions. Job Responsibilities: Administrative Leadership & Supervision - Provides direct supervision to the Receptionist and Administrative Assistant, including day-to-day oversight of workflow, task prioritization, and administrative coverage.
- Trains, coaches, and supports administrative staff to ensure understanding of department procedures, documentation standards, and compliance expectations.
- Assigns and monitors administrative tasks to ensure deadlines, accuracy, and consistency across Adult Services.
- Serves as the first point of escalation for administrative questions, workflow concerns, and problem-solving.
- Provides ongoing performance feedback and participates in performance evaluations in collaboration with the Director of Adult Services.
- Ensures front-desk operations and administrative communication reflect professionalism, customer service standards, and alignment with Easterseals Redwood values.
- Identifies process gaps or inefficiencies within administrative operations and recommends improvements to leadership.
Electronic Records Management & Data Systems - Inputs, maintains, and updates CareLogic records for each individual served.
- Maintains electronic individual files for Kentucky Adult Services programs.
- Works closely with the Service Coordinator to maintain individual records in Ohio.
- Provides training and support on electronic record systems, including CareLogic, Britco, and Salesforce, to ADS leadership and administrative staff.
- Runs reports from electronic recordkeeping systems, including CareLogic, Salesforce, and Britco, and provides data and technical support to ADS leadership.
- Attends trainings and meetings to remain current on electronic record systems and system updates.
Compliance, Audits & Quality Assurance - Attends Plan of Care meetings and Team Meetings to maintain knowledge of each individual’s plan and ensure completion of required documentation.
- Completes monthly internal audits to ensure ongoing compliance, including review of client files and electronic records.
- Proofreads and edits daily notes and monthly summaries to ensure compliance and documentation accuracy.
- Identifies recurring documentation trends and notifies the Program Manager and Director so concerns may be addressed through training or corrective action as appropriate.
- Assists in the maintenance of regulatory, licensure, and accreditation materials.
- Attends trainings and assists with research to ensure Adult Services remains compliant with applicable regulations in both Kentucky and Ohio.
- Provides support to the Director and Assistant Directors during all internal and external audits.
Data Analysis, Reporting & Program Support - Works closely with Assistant Directors and the Community Outreach Coordinator to maintain referral records.
- Conducts research and compiles data as requested by the Director, including providing data to support grant applications.
- Assists in researching and gathering information to support maintenance of individual files and overall departmental regulatory compliance.
- Develops recordkeeping systems and procedures to collect data, organize information, and maintain department files.
Committees & Cross-Division Collaboration - Serves on the COMPASS committee.
- Serves on cross-division teams and committees as assigned.
Education/Qualifications: - College coursework or degree in business office skills
- Proven administrative or assistant experience
- Experience working with individuals with disabilities
- High School Diploma or GED
