We are looking for a skilled Operations Manager to ensure the smooth execution of our field projects. The primary focus of this role is to provide clear guidance and support to our crew leads and field teams, ensuring efficient project implementation. You will work closely with the leadership team, clients, and vendors, maintaining a professional and collaborative approach. Additionally, you will be responsible for establishing best practices that enhance project execution and overall operational effectiveness. This role
is ideal for someone who excels in communication, organization, and process improvement within a dynamic project environment.

CORE JOB RESPONSIBILITIES:

● Leadership and Teamwork
○ Coordinate and supervise the work of crews and subcontractors.
○ Use strong leadership skills to build teamwork, high morale and a skillful workforce
○ Responsible for keeping track of crew training, assisting in training and developing new training
○ Perform site visits on a regular basis to ensure job scope & production standards are
met.
○ Hold a daily morning huddle to ensure each crew’s success, goals and managing
morning routine
○ Perform daily performance evaluations to confirm each project is being completed on
budget
○ Development of crew leaders as on site managers – coach them to be successful crew
leads.
○ Give recognition for good performance and effectively counsel poor performance.
○ Manage conflict through a positive approach to each and every issue.

● Scheduling Jobs and Resources
○ Create and maintain crews’ daily, weekly, monthly schedules to efficiently utilize the
crews billable time effectively
○ Provide proactive planning and communication of all project schedule dates to all
persons involved in the project
○ Schedule utility locates to be called in a minimum of 3 days prior to any ground-breaking
services.
○ Ensure adherence to plans & deadlines, material availability
○ Collaborate w/CRM to source/order the highest quality plants and materials for projects at the best prices
○ Make daily adjustments to the schedule based on job completions and changes in the
customer’s expectations.
○ Fluency in reading landscape contracts and designs to devise execution strategy
(including work process for crew and determining materials/supplies/tools/equipment
required)

● Budgets and Job Costing
○ Examine material packages for installations to ensure good product quality and proper
quantities.
○ Promote change orders by developing additional project items and assist the CRM in the
estimating process.

● Quality and Safety
○ Ensure quality control during the installation and final accountability for results when the project is complete.
○ Ensure availability and enforce the use of all PPE (Personal Protection Equipment).
○ Maintains a safe environment and identifies and eliminates safety hazards to crew staff, vendors and customers.
○ Coordinate w/mechanic on equipment maintenance needs
○ Ensure jobs are being executed safely and work w/owner to continuously improve our
culture of safety

● Communication
○ Communicate project details to clients with timely communication before project start, during the project, creating and gaining approval for change orders and crew lead
communication with client for project wrap up and final walkthrough
○ Collaborate with CRM, Designer, Clients, Suppliers and Crew to achieve project success
○ Email, texts and voicemails must be responded to in a timely manner.
○ Be proactive in communication regarding project changes in services, start dates,
schedule changes, material changes etc. The proactive communicating approach will
include but is not limited to clients, subcontractors and crews.

ADDITIONAL RESPONSIBILITIES:
● Develop a beginning to end project checklist system for OLO’s project management needs
● Identify additional selling opportunities by working with clients on their future needs. This includes management services post installations. Collaborate with the CRM with this.
● Ability to do field work w/team when necessary
● Ability to lift 50+ pounds on a routine basis
● Perform activities including but not limited to: bending, kneeling, lifting, stooping, squatting, reaching and walking on uneven surfaces for long periods of time.
● Ability to work outdoors in all weather conditions and around bees, poison ivy, pollen, thorns, and other environmental risks
● Ability to use mobile apps for accurate timekeeping and property notes
● Care for and operate heavy equipment such as mini skid steer loaders, mini-excavators and other
construction equipment as needed
● Work full-time plus additional hrs. as needed to complete jobs
● Other duties as needed

CORE COMPETENCIES REQUIRED:
● Organizational and construction planning skills are a must – you must love to plan and have excellent attention to detail!
● Technical landscape knowledge to train for the tasks and plan the work flow of hardscape jobs
● Ability to creatively and practically solve problems
● Ability to provide feedback and coach the team towards solutions
● Ability to manage time and track work of multiple sites each day
● Structure and discipline to follow processes, fill out paperwork and do things right.
● Consistent ability to interact with co-workers, clients, and community in a calm, respectful and professional manner.
● Dependable and able to work both independently and in a diverse team environment
● Sense of urgency to get things done, realizing that time is money & folks want to go home.
● Ability to arrive at work on time each day ready to be part of a team and energized to lead the crews and ensure they are off to a good start
● Familiarity with the tools and equipment of the trade
● Must have at least 3 years of landscape installation and maintenance project management
experience

Earnings and advancement potential commensurate with overall experience and longevity.
