Fundraising Event Coordinator

Purpose: As the Fundraising Events Coordinator, you will be the lead staff person for the coordination and project management of Gorman Heritage Farm’s special events designed to raise funds in support of our Mission and create an environment that invites and introduces new community members to the farm.
The Fundraising Events Coordinator will be the leader in managing the details, timeline, budget, event sponsorships, staffing and marketing of our key fundraising events to include, but not limited to: May Farm Fest, Row by Row Farm Dinner, Sunflower Festival and October Fall Fun Days. Your role not only ensures successful operations for these events, it helps create a margin for excellence, allowing the organization to surpass expectations and achieve its goal to be a leader of farm-based education in our region. This position plays a key role as part of a team who are passionately dedicated to providing engaging programs, growing nutritious, sustainable food, and stewarding our unique historic, agricultural site. Range in hours is indicative of in-season/off-season fluctuation in responsibilities with more hours required during key months of the year, ranging from April-October, and fewer hours during the off-season where work is focused more on wrap-up and administrative details (November-March).
Essential Job Responsibilities:
- Directly manage key fundraising events: Row by Row, Sunflower Festival, Fall Farm Fun Days, and Spring Event
- Strong and proven Project Management skills; ability to multitask in a fast paced environment.
Schedule and facilitate meetings of event planning teams - Assign and communicate responsibilities; ensure completion of tasks by staff
- Work in coordination with the GHFF Volunteer Manager to ensure staff and volunteer positions are properly designated, filled and managed.
- Coordinate with external vendors and sponsors as necessary to ensure successful event execution
Manage ticketing process with knowledge of platforms such as Square, Givesmart, and Doubleknot. - Goal to event revenue goals while staying at or under budgeted expenses
- Collaborate with Development Committee of the GHFF Board of Directors to integrate events in overall fundraising strategy
- Track event fundraising impact and other metrics, such as attendance.
- Produce post-event reports, IRS letters, and other documentation for GHFF Board, committees and donors
- Represent GHFF at the Village of Evendale Safety Task Force Committee to arrange for service support with traffic and other needs.
- Assist with securing event sponsorships
- Collaborate with the Executive Director and Development Committee of the GHFF Board to identify sponsorship prospects and opportunities.
- Cultivate existing sponsor relationships to grow support
Other duties as assigned
Education/Experience: Bachelor’s Degree and five years previous events and/or project management experience. Experience with ticketing and financial platforms including but not limited to: Givesmart, Little Green Light, Doubleknot and Square.
Physical demands: This position requires the following physical activities: climbing, bending, lifting up to 50 pounds, walking/standing for long periods of time, sitting, reaching, finger dexterity, repetitive motions, talking, hearing and visual acuity. The work is performed indoors and outdoors.
Equipment operated: Knowledge of G Suite, copier and other office equipment found in the office environment required. Knowledge and operation of farm utility vehicles (gators) a plus. Phone/computer may not be provided.
Other requirements: Ability to multi-task in a fast-paced environment; Creative problem-solving abilities; Positive attitude; team player; comfortable in a working farm environment surrounded by gardens, crop fields and farm animals; willingness to work in a small office/non profit environment; enthusiasm for learning.
