Assistant Events Coordinator

Summary: The Assistant Event Coordinator will work closely with the Corporate Engagement & Events Manager to provide support for key organizational events, including our annual conference – the Midwest Regional Sustainability Summit. This is a part-time, hourly, time-limited position set to run from early January 2026 to mid June 2026.
Essential Functions:
- Assist in planning and management of details for the following Green Umbrella events:
- Midwest Regional Sustainability Summit (June 12, 2026)
- Green Drinks (monthly) and other networking events
- Program-specific in-person and virtual events
- Other events throughout the year
- Update Summit website (Wix experience preferred, but not required).
- Assist with graphic design of event marketing materials (Canva experience preferred, but not required).
- Assist with event marketing and promotion in coordination with GU Communications staff across email, social media, and traditional media.
- Help coordinate registration before and during events.
- Support coordination of speakers, exhibitors and artists.
- Support sponsor management and benefit fulfillment.
- Develop and implement evaluation methods for events.
- Respond to inquiries from event participants as necessary.
- Data entry as needed.

Supervisory Responsibility: This position has no direct supervisory responsibilities.
Work Environment: This job operates in a professional office environment. This role has remote work options. This role routinely uses standard office equipment such as computers, phones, multi-functional printer, and filing cabinets.
Physical Demands: While performing the duties of this job, the employee is regularly required to talk or hear. This position is mostly sedentary but also involves moving to meeting spaces; using hands to finger, push, pulling, handling or feeling; and reaching with hands and arms.
Position Type and Expected Hours of Work: Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 10 am to 4 pm. The standard workweek is 12-15 hours, but variability will occur based on the event planning timeline.
Travel: This position has local travel expectations. Travel will reimbursed at the standard IRS mileage rate.
Required Education and Experience:
- 2 years of relevant work experience.
- Demonstrated project management.
Preferred Education and Experience:
- Event coordination experience
- Graphic design and marketing skills.
- Website editing.
- Experience in the environmental and/or nonprofit sector.
Additional Eligibility Qualifications:
- Ability to successfully manage multiple priorities and produce quality work.
- Ability to work independently with feedback and guidance from supervisor.
- Proficiency with Google Workspace or related software and systems.
