The Construction Accounting Administrator is responsible for supporting the accounting and administrative operations of our commercial construction company.

This position will manage key accounting functions, including Accounts Payable, Accounts Receivable, AIA billing, lien waivers, job cost documentation, account reconciliations, and financial recordkeeping. The position will also assist with construction project documentation and general office operations.

The ideal candidate will have prior construction accounting experience, a strong understanding of accounting and bookkeeping practices, and experience working with construction-related billing and payment documentation.

What You’ll Do

As Construction Accounting Administrator, you will work closely with our Controller, project managers, subcontractors, vendors, and customers to help ensure project financials, billing, and documentation remain accurate and up to date.

Your responsibilities will include:

Accounting & Financial Administration

  • Process and manage Accounts Payable, including invoice entry, vendor payments, job cost reporting, and account reconciliations.

  • Process Accounts Receivable, including customer invoicing, collections, payment posting, and account tracking.

  • Enter job estimates and prepare, submit, and monitor AIA billing applications and supporting documentation.

  • Generate, track, and maintain lien waivers, releases, and related construction payment documentation.

  • Post and maintain accurate financial records within Sage 50 accounting software.

  • Assist with month-end and year-end accounting procedures.

  • Support job cost tracking and financial reporting as needed.

  • Coordinate with project managers, subcontractors, vendors, and customers regarding billing and payment matters.

Construction & Project Documentation

  • Organize and maintain project accounting files, contracts, certificates of insurance, lien documentation, and other construction-related records.

  • Assist with maintaining accurate and complete project documentation.

  • Ensure accounting and project documentation complies with company procedures and construction industry requirements.

Office & Administrative Support

  • Provide general office support, including answering phones, greeting visitors, managing correspondence, and assisting with daily office operations.

  • Assist management with reporting, data entry, document preparation, and special projects as needed.

  • Help maintain an organized, accurate, and professional office environment.

Required Qualifications

  • Minimum of 3 years of Accounts Payable and Accounts Receivable experience.

  • Construction industry accounting experience strongly preferred.

  • Associate degree in Accounting, Finance, Business Administration, or equivalent relevant professional experience.

  • Knowledge of AIA billing, lien waivers, and construction payment processes.

  • Strong understanding of accounting principles and bookkeeping practices.

  • Experience with Sage 50 or comparable accounting software; Sage 50 experience strongly preferred.

  • Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.

  • Excellent organizational skills and strong attention to detail.

  • Ability to manage multiple priorities and meet deadlines.

  • Strong verbal and written communication skills.

  • Ability to communicate professionally with project managers, subcontractors, vendors, customers, and company leadership.
