This is a part time position.

Under limited supervision, coordinates department office work. Maintains records of daily department operations. Provides clerical support for appropriate department personnel.

KNOWLEDGE, SKILLS AND ABILITIES:

Must have a high school diploma or equivalent. Requires specialized skills including typing, transcription, word processing and computer spreadsheets.

Work requires analytical ability in order to gather and interpret data in situations where the problems are moderately complex, and to coordinate the activities of the department.

Must have necessary interpersonal and organizational skills to be perceptive and persuasive in communicating policies, dealing with visitors, patients, Medical Center personnel and to maintain a cooperative work environment.

Must have knowledge of use and operation of standard office equipment (computer, photocopier, fax machine, etc.) and the ability to perform at a satisfactory speed-accuracy rate.

Work requires a level of knowledge of secretarial and office procedures relating to record keeping, filing, etc., generally acquired through two to three years of prior clerical experience.

Work requires approximately nine months on the job experience to acquire in-depth knowledge of departmental policies and procedures.

Principal Duties and Responsibilities

Coordinates work duties of office personnel, maintaining appropriate clerical support for the department(s).

Initiates, composes and types correspondence. Types memos and reports from rough draft, shorthand or machine dictation. May attend meetings to take transcription and type and distribute minutes.

Responds to routine inquiries, referring to other staff members as necessary. May act as receptionist, screen visitors and telephone calls. May process departmental mail.

Organizes work flow for department record keeping, budgets and reporting systems. Monitors and orders office supplies. May participate and provide input into department budget.

Compiles and interprets data from records to develop reports. May perform complex calculations.

May schedule meetings and coordinate conferences or other appointments, making travel arrangements where necessary.

Collects and disseminates confidential data in accordance with established Medical Center and department policies and procedures.

Adheres to the standards and policies of the Corporate Responsibility Program, including the duty to comply with applicable laws and regulations, and reporting to designated Manager (or employer hotline) any suspected unethical, fraudulent, or unlawful acts or practices.
