Telecommunications Manager - Youngstown Market - Mercy Health

SUMMARY OF JOB RESPONSIBILITIES:

  • All principal job accountabilities for PBX associates and also Regional Telecommunication Operations.
  • The supervision of other department employees regarding professionalism, dress and customer service and reports these instances to the Director.
  • Schedules and approves staff PTO and updates this in Kronos.
  • Creates and posts department schedules.
  • Meets with Director regularly.
  • Regular travel between St Joseph Warren Hospital and St Elizabeth Boardman Hospital for accountability and collaboration purposes.

EDUCATION:

  • High School Diploma or GED equivalent (required)

EXPERIENCE:

  • Three to five years PBX telecom experience (required)

KNOWLEDGE AND SKILLS:

  • To be able to provide comfort and support to family in stressful situations.
  • Phone and PC experience and excellent communication skills are a must.
  • An understanding of HIPPA and patient confidentiality laws.
  • A working knowledge of hospital policies and procedures and Amcom systems.

PRINCIPAL JOB ACCOUNTABILITIES:

  • · Responsible for the hiring, training, evaluations, progressive counseling and if necessary termination of all telecommunication employees.
  • Maintain and report all departmental budget responsibilities including Kronos, Visionware and all other financial reporting mechanisms.
  • Analyze, document, and submit for payment all Telecommunication invoices for SJHC, SEHC and all HMHP sites.
  • Manage various vendor relationships within the communications department pertaining to service and maintenance agreements, equipment inventory and system backups.
  • Answers all incoming and most in-house telephone inquiries regarding patient room numbers, conditions and discharge information.
  • Provides necessary assistance during fire drills/alarms or disasters.
  • Attends department meetings, educational programs, in-service and mandatory meetings.
  • Administrator of Amcom Application Systems
  • Administer all changes and updates to Smart Center (PBX operator data base) Smart Web (Physician/On-call Directory data base), and HMHP Phone directory.
  • Work with HMIS, HMHP management, clinical personnel and/or physicians as needed to insure accurate system configuration in accordance with the needs and priorities of those affected.
  • Work in conjunction with Medical Staff Office personnel to maintain 24-7 coverage of On-Call calendar changes.
  • Acknowledge and respond 24-7 to incident tickets from CHP Service desk, pertaining to telecom/paging systems using remedy OPAS tool.
  • Oversee and monitor all daily information system operations, coordinating with both internal and external customers in providing optimum efficient services.
  • Monitor and maintain all paging equipment and billing, both in-house and long range. Monitor, replace and assign pagers to staff.
  • Train and mentor all telecommunications operators for St Elizabeth Youngstown Hospital, St Joseph Warren Hospital and St Elizabeth Boardman on BSMH and departmental policies, procedures and protocols as they pertain to the communications department.
  • Coordinate scheduling of telecommunications operators, and be available to adjust as necessary for the good of the department.
  • Maintain the department’s time and attendance in Kronos, and submit to Payroll in accordance with organizational timelines.
  • Have a working knowledge of each department and their function as it pertains to the communications department. Work to improve and enhance communications with all departments and HMHP sites.
  • Analyze and review console reports on all PBX operators.
  • Record and monitor telecommunication functions for the department as they relate to the TTY/TDD equipment.
  • Travel regularly between St Joseph Warren Hospital and St Elizabeth Boardman Hospital for accountability and collaboration purposes.
