About the opportunity
Mercy Hospital for Women is seeking a motivated and organised Administration Assistant to provide high‑level administrative support to the O&G Department. This role supports the critical functions of the department through efficient administration, coordination, and customer service. You will work in a fast‑paced, collaborative environment, managing competing priorities while maintaining accuracy, confidentiality, and professionalism.
Duties
Provide high‑level administrative and business support to the O&G Department
Manage and triage one or more group mailboxes, tracking and responding to requests
Coordinate meetings, including agendas, minutes, and follow‑up of actions
Support rostering, timesheets, and recruitment processes
Follow up mandatory competencies and requirements for O&G medical staff
Maintain accurate records and manage documentation
Assist with simple procurement (e.g. stationery and supplies)
Contribute to continuous improvement initiatives within the department
Ensure compliance with relevant legislation, policies, and Mercy Health requirements
The role reports to the Manager Patient Services and operates within a large, integrated administrative team.

To thrive in this role, you will have:
Strong communication, organisational, and time-management skills
Experience as an Administrative Assistant in healthcare or public sector (desirable), including demonstrated experience working with health professionals and working in a complex environment
High attention to detail with the ability to manage competing priorities
Initiative and the ability to resolve issues with limited supervision
Professional handling of sensitive and confidential information
Strong IT skills to support administrative functions
An ability to work both independently and collaboratively within a team
Excellent customer service, interpersonal and communication skills on al levels, including written and verbal
You will also be required to provide evidence of, or in the process of obtaining:
A current Police Record Check and Working with Children Check.
Proof of current influenza vaccination and other vaccination status consistent with public health orders.
