Situated in the heart of downtown Indianapolis, IN, RJE’s office is housed in a beautifully preserved building from 1927, showcasing timeless architecture and elegance. RJE is seeking a Senior Administrative Coordinator to the CEO. The individual in this role must be highly organized and proactive, providing full support to the CEO.

Focused on RJE’s human centric approach, the Senior Administrative Coordinator to the CEO role is ideal for someone who excels in fast-paced settings, enjoys solving problems, thinks critically, and is willing to manage and partner as directed by the CEO on any and everything from scheduling to office operations, with confidence and professionalism. Ultimately, we’re looking for a team oriented, culture driven individual to join the IT’S@RJE team.

Reports to: CEO

Essential Pillars for Success

Administrative Responsibilities:

  • Manage and coordinate the CEO’s schedule, meetings, and travel arrangements.
  • Act as the primary point of contact between CEO and internal/external stakeholders.
  • Prepare reports, draft presentations, and write correspondence on behalf of CEO.
  • Handle confidential and sensitive information with discretion.
  • Take meeting notes and follow up on action items as needed.

Office Support (as directed):

  • Aid in office operations.
  • Assist in planning company events, meetings, and team-building activities.
  • Coordinate CEO’s incoming and outgoing mail, packages, and office communications.

Project & Process Management (as directed):

  • Support various administrative projects and assist team members/different departments.
  • Drive improvements through fresh thinking.
  • Assist with CEO expense tracking, budget management, and invoice processing.

What We Are Looking For:

  • Strong organizational skills – You must juggle multiple priorities like a pro.
  • Excellent communication – You must have both written and verbal, with a keen attention to detail.
  • Tech-savvy – You must be proficient in Microsoft Office and other business tools. HubSpot is a big plus.
  • Discretion & professionalism – You must maintain strict confidentiality at all times.
  • Team player – You must be adaptable, proactive, and thrive in a dynamic workplace.
  • Strategic problem-solver – You must think critically, anticipate challenges, and address issues proactively from the start.
