Job Description
The Mail Operations Group of U.S. Bank is looking for a Work Coordinator to join the Global Trade and Stand by Services intake and dispatch team in Minnesota. This is a noncustomer/client facing, fast-paced environment meeting strict deadlines. A Work Coordinator distributes workload, monitors production, and participates in work as necessary on behalf of Global Trade and Standby Services for multiple locations. Monitors multiple work queues, chats and email to ensure all work is processed timely. Resolves exceptions and problems of a more routine nature, referring more complex problems to manager as necessary. Prepares reports, records, and performance monitoring informing management of operational activities. Provides work direction and training to staff as well as participates in meetings regarding process improvements with GTSS.
Schedule: 8:00 AM – 4:30 PM CST Monday - Friday
Location: 1200 Energy Park Dr., St. Paul, MN. (You will work 100% onsite.)
Job Highlights
· Double Check documents in packages being dispatched
· Complete morning risk compliance activities
· Complete production/volume reporting and gather previous days data for metric tracking.
· Update Live inventory list for GTSS Partners
· Work with manager to find solution for gaps/opportunities for more efficiency and quality between GTSS and I&D (procedures, daily tasks, reporting, etc.)
· Work with escalation teams to ensure high priority situation are solved in a timely and efficient manner.
· Required to apply to be a power of attorney so they can sign and notarize documents.
You may support the operations processes with the below, as needed to meet strict deadline
• Sort incoming mail.
• Extract contents from envelope and prep for ingestion.
• Ingest documents transaction and detail information into multiple systems.
• Upload ingested files into KTA (Kofax Total Agility) to assign and submit document files to the system.
• Log in check items.
• Collect and follow handling instructions on the end process of physical documents.
• Assisting with any document updates/replacements.
• Building document packet for send out.
- High school diploma or equivalent
- Typically four or more years of relevant experience (Bank operational functions, systems, policies and procedures, or related experience)
- SharePoint, Excel and overall MS office application proficiency
- Computer navigation skills using a variety of software packages including Microsoft Office applications
- Document processing into system
- Thorough knowledge of computer applications and/or the equipment used in the assigned area
- Good customer relations skills
- Effective verbal and written communication skills
- Well-developed ability to identify and resolve/escalate problems
- Demonstrated leadership skills

The salary range reflects figures based on the primary location, which is listed first. The actual range for the role may differ based on the location of the role.
