Job Description

Governance Assistant, US Bank Wealth Management & Investment Services

We are looking to recruit an Governance Assistant for the Head of Depositary, Custody and Banking for Europe and the Head of Custody for Europe and to support the wider team across the WCIB business line.

As a key member of the team, you will need to be driven, adaptable and highly organized with a flexible approach and the ability to work independently and respond quickly to business needs. The role involves preparation for a number of Governance forums which support the business as well as performing associated and general administrative tasks.

Key Responsibilities:

  • Preparation of Governance packs for key business forums including Depositary Acceptance Group; Ireland Management Forum; Luxembourg Management Forum
  • Ensuring the packs are appropriate retained on site eg SharePoint for retrieval for auditors / regulatory reviews
  • Minute taking of the Governance meetings
  • Providing valuable support to senior executives and the team across a broad variety of administrative tasks including coordinating travel and expenses
  • Diary management and coordinating calendars for a variety of meetings
  • Hosting on-site meetings and providing guidance and support to visitors from the US and Europe
  • Coordinating internal administrative projects including any regulatory review
  • Creating and updating presentations and decks for client meetings and board meetings
  • Attending and preparing for meetings with senior stakeholders, taking comprehensive minutes
  • Maintaining contact lists and distribution groups
  • Organising social events and initiatives
  • Ownership of key regulatory items including signatory lists, registrar details, e-sign
  • Working with the marketing team to update the monthly Depositary Deck with accurate information
  • Townhall meeting preparation including co-ordination of materials
  • Ad hoc projects as required


Basic Qualifications

  • Minimum technical, trade or business school certificate, or equivalent work experience
  • Three to five years of administrative or operations experience is preferred

Location expectations

This role requires working from a U.S. Bank location three (3) or more days per week.
