Job Description
The Collect One Process Analyst is responsible for timely and accurate processing, validation of incoming payments, refunds, chargebacks, lockbox items, and related financial transactions within the Collect One platform. The role ensures that all collected funds are correctly applied, discrepancies resolved and required supporting evidence is maintained in line with internal controls and audit expectations.
This position plays a key role in daily cash allocation activities, reserve recovery processing, and ensuring the completeness and accuracy of submissions that feed into month-end close, reclass processes and year-end requirements.
As Collect One Junior Analyst, you will:
- Run daily Collect One processing load and validate payments (credit cards, checks, chargebacks), investigate and resolve out‑of‑balance items.
- Manage reserve recovery sweeps and book transfers, work items end‑to‑end ensure evidence is complete.
- Maintain audit‑ready documentation and meet control standards payment validations.
- Partner with internal teams to hit month‑end and year‑end cut‑offs and prevent backlog.
- Continuously improve, follow and help update step‑by‑step procedures as processes change, keeping documentation clear for new users. Work across Collections, Recovery, Billing, Payment Exceptions and Accounting to resolve issues quickly and communicate status.
Key Responsibilities
- Daily Collect One Processing. Process payments, check deposits, credit card payments, and chargeback refunds into Collect One.
- Completing daily Collect One Credit Reporting
- Process recovery-related items, perform reserve recovery sweeps to ensure accuracy of recovery book transfers.
- Balance all previous-day refund requests with current-day payments and Collect One uploads; investigate any out-of-balance items.
- Clear merchant reserve balances and coordinate decisions with the recovery team.
- Identify and escalate outstanding items, ensuring correct manual handling.
- Maintain evidence folders and ensure documentation meets audit and control standards.
- Process all Collect One reclasses in alignment with cutoffs, ensuring clean handoff for month-end and year-end close.
- Cross-Team Collaboration; work closely with Collections, Recovery, Billing and Payment Exceptions teams to resolve discrepancies promptly, avoid backlog and prevent year-end accumulation of tasks.
What We’re Looking For
- Bachelor’s degree in Finance, Accounting, Economics, or related field.
- Experience in cash allocation, payment processing, or similar financial operations.
- Very good command of English (B2)
- Ability to work with multiple reports, Excel files and platforms
- Strong Excel skills (filters, lookups, pivots) and comfort working with high‑volume data across multiple reports/systems
- Familiarity with lockbox processing, check imaging, and credit card transactions.
- Attention to detail with a control mindset; ability to follow procedures and maintain evidence.
- Clear, proactive communicator who can coordinate with multiple teams and meet month‑end deadlines
- Proactiveness in raising issues and suggesting process improvements.
- Comfortable working with high-volume data files and ensuring data integrity.
- High attention to detail and ability to identify discrepancies quickly.
- Strong communication skills, especially handling cross-team clarifications.
- Ability to work under time pressure during month-end and year-end cycles.
