Required Qualifications
- Bachelor's degree in Healthcare Administration, Business, Health Sciences, or related field.
- 3 to 5 years of healthcare leadership or operations management experience.
- Experience supervising teams and managing multiple direct reports.
- Experience with budgeting, financial management, productivity monitoring, and operational reporting.
- Strong communication, leadership, organizational, and problem-solving skills.
Preferred Qualifications
- 6 to 10 years of healthcare leadership experience.
- Experience in Pulmonary Medicine, Sleep Medicine, Respiratory Care, EEG/Neurodiagnostic Services, or other clinical operations environments.
- Ambulatory, outpatient, or physician practice management experience.
- Experience leading quality improvement and process improvement initiatives.
Minimum Required: Bachelor's Degree-General Studies or Health Care Related. | For employees working in UCMC Psychiatric Services, NCI-APS (Nonviolent Crisis Intervention with Advanced Physical Skills) Certification must be obtained within 90 days of hire. | Minimum Required: 3 - 5 Years equivalent experience. Preferred: 6 - 10 Years equivalent experience.
Clinical Operations: Oversee daily activities to assure patient safety and appropriate cost effective care delivery. Work closely with physicians to meet their needs and to improve efficiency in the practice. Enforce department and UCP (UC Physicians) policy and procedure. Implement and monitor work flows within the practices to identify and evaluate improvement opportunities that will enhance the practice’s ability to meet and excel UCP ambulatory clinical benchmarks. Coordinate department activities to assure unified approach to quality care delivery. Participate and collaborate with other managers within UC Health for monthly meetings and clinical initiatives. Actively participate as a member of appropriate UCP/HC Health Committees as assigned by senior management.
Education: Precept and mentor new employees. Provide ongoing education and competency evaluation/review. Ensure new employee departmental orientation is completed within 90 days of hire.
Personnel Management: Provide guidance, psychosocial support, clinical precepting and mentoring of staff. Prepare and present performance appraisals of staff; initiate corrective action and assist in conflict resolution to maintain personal and professional growth of staff. Communicate with Human Resources prior to verbal reprimands, written warnings and/or terminations. Participate in recruitment, hiring, retention, payroll and benefit issues. Facilitate routine and reccuring staff meetings.
Marketing: Act as a liaison for internal and external resources to assure a unified approach to patient care delivery. Partner with the marketing department for office signage, marketing template, and web site changes when needed.
Quality Improvement (QI): Develop QI projects and collect and analyze data to validate effectiveness and appropriateness. (Projects include departmental programs; productivity, clinical practice, equipment, policy and procedure, infection control; and multidisciplinary programs: policy and procedures, clinical practice standards, etc.) Review monthly commentator and devise implement a plan to improve access, internal quality and clinical metrics, and patient experience for patients.
Resource Management: Provide assistance in preparation of the budget, charging/billing for department, pre-certification, registration accuracy, open and pending encounters, and other revenue cycle opportunities, as assigned by management. Manage assigned areas of responsibility within budget level of expense. Evaluate supplies, capital equipment and assure proper inventory is maintained. Coordinate equipment repairs and ordering of rental equipment. Conduct research on equipment, supplies, and clinical care to assure excellence. Assist in personnel scheduling to optimize staffing resources. Develop productivity standards to appropriately allocate staff and effectively manage personnel budget.
Regulatory Compliance: Work with physicians and staff to assure compliance with applicable regulatory agency requirements (i.e. Joint Commission, OSHA, ODH, and Billing).
Environment: While performing the duties of this job, the employee is regularly required to communicate professionally in person, over the telephone, through e-mail and other electronic means, move about the office, handle various types of media and equipment, and visually or otherwise identify, observe, and assess.
Other: Perform all other duties as requested by management.
Clinical Operations
- Lead daily operations for Pulmonary Medicine, Sleep Clinic, and Sleep Lab services.
- Partner closely with physicians and clinical leaders to improve patient care, workflow efficiency, and departmental performance.
- Implement and monitor operational workflows to achieve access, quality, productivity, and patient experience goals.
- Coordinate activities across departments to ensure a unified approach to care delivery.
- Participate in organizational committees, leadership meetings, and clinical initiatives.
Leadership & People Management
- Direct, mentor, and develop clinical and non-clinical staff.
- Manage employee performance, coaching, corrective action, and professional development.
- Lead recruitment, hiring, onboarding, retention, and staff engagement efforts.
- Facilitate regular staff meetings and maintain effective team communication.
- Ensure completion of orientation, training, competency validation, and continuing education requirements.
Financial & Resource Management
- Assist with budget development and manage departmental expenses.
- Monitor financial performance, monthly operating reports, productivity metrics, and staffing resources.
- Identify opportunities to improve revenue cycle performance, billing accuracy, registration accuracy, and encounter management.
- Oversee supply management, equipment purchases, inventory control, and vendor coordination.
- Develop and maintain productivity standards that support operational and financial goals.
Quality & Performance Improvement
- Lead quality improvement initiatives focused on clinical outcomes, operational excellence, patient access, and patient experience.
- Analyze operational and quality data to identify opportunities for improvement.
- Develop action plans and measure outcomes to ensure sustained performance improvements.
- Support infection prevention, clinical practice standards, and departmental policy implementation.
Regulatory Compliance
- Ensure compliance with applicable regulatory and accreditation standards, including Joint Commission, OSHA, billing compliance requirements, and other healthcare regulations.
- Maintain departmental policies and procedures consistent with organizational and regulatory expectations.
Collaboration & Community Relations
- Serve as a liaison between physicians, staff, leadership, and internal support departments.
- Partner with marketing and organizational resources to support service line growth, communication initiatives, and patient engagement efforts.
- Foster collaborative relationships across UC Health and UC Physicians.
