About the Opportunity

  • Daily receiving and posting vendor invoices
  • Review of PO/AP imports and correction of any coding errors and / or other omissions.
  • Monitor PO activity to identify stale dated POs, POs awaiting approval or commitment or POs not receipted at the end of a period.
  • Issue POs for any Finance Department purchases / Services.
  • Correct and assist admin staff with POs for any processing errors.
  • Run PO exception reports at periodic intervals to monitor compliance and ensure POs receipted have been closed.
  • Manage AP inbox for vendor invoices and payment inquiries
  • Weekly review of Accounts Payable ageing and identification of past due invoices for payment selection for the week based on ageing and phone inquiries received from vendors.
  • Setup weekly file uploads based on Cash out Flow budget specified by the Corporate Controller and / or the Assistant Controller
  • Answer calls from Vendors for updates on payments and requests for payment as well as respond to vendor inquiries via email.
  • Prepare and process online Bill payments, ACH payments, wires, cheque requisitions and manual cheque payments to vendors and employees.
  • File all invoice copies, cheque stubs and payment remittance confirmations after payments have been processed.
  • Post pre-authorized debit payments based on the bank transaction on a weekly basis.
  • Periodically review the Accounts Payable aging to identify credit balances and unapplied payments and coordinate with the General Accounting Analyst to initiate corrective action.
  • The Accounts Payable Coordinator and General Accounting Analyst will act as backup to each other.
  • Carry out periodic Vendor statement of Account Reconciliations.
  • Assist and Co-ordinate during Year End Audit.
  • Ability to see the big picture when working within the group.
  • Ensure Intercompany transactions are recorded and paid.
  • Maintain confidentiality within the group and external stakeholders.

About You

  • Post-secondary education in accounting, finance, or business administration, or equivalent experience.
  • Previous experience with ERP software; tech savvy to learn new software.
  • 4 years’ experience in accounts payable
  • 3 years’ general accounting knowledge/experience maintaining general ledger.

Hourly Rate
$24 - $27/hr
