Vaco is hiring for a Payroll Manager opportunity in Kansas City MO. This is a direct hire position that sits onsite.

Job Description
The Payroll Manager is a key member of the finance team, responsible for the comprehensive management of all payroll processes, including processing of union payroll. This role ensures the accurate and timely processing of weekly payroll for all employees, maintenance of pay rates and benefits (including union wages and fringe), and compliance with all relevant tax and reporting requirements. Additionally, the Payroll Manager will have a role in supporting management with ad hoc projects and maintenance of policies and procedures.

Duties/Responsibilities

Payroll Processing
  • Manage and process weekly payroll for all employees, ensuring accuracy and compliance with company policies and union agreements.
  • Calculate wages, overtime, and deductions accurately.
  • Ensure timely distribution of paychecks or direct deposits to employees.

Union Payroll Management
  • Maintain up-to-date knowledge of union contracts and agreements.
  • Update and manage union pay rates, benefits, and deductions in the payroll system.
  • Liaise with union representatives to address and resolve any payroll-related issues or discrepancies.

Tax Filing and Compliance
  • Prepare and file all payroll-related taxes, including federal, state, and local taxes.
  • Ensure compliance with all applicable tax regulations and deadlines.
  • Prepare and submit quarterly and annual payroll tax returns.

Certified Payroll
  • Oversee preparation and filing of certified payroll reports as required for public works projects.
  • Ensure compliance with prevailing wage laws and regulations.
  • Maintain accurate records of certified payroll reports for audit purposes.

Reporting and Record-Keeping
  • Generate and maintain payroll reports, records, and documentation.
  • Provide payroll-related data and reports to management as needed.
  • Assist in audits and ensure all payroll information is accurately documented and accessible.

Employee Relations
  • Address and resolve employee payroll inquiries and issues promptly.
  • Provide support and guidance to employees regarding payroll policies and procedures.

Ad Hoc Projects
  • Support management with various ad hoc financial projects, including payroll analysis, cost projections, and reporting.
  • Assist in the development and implementation of payroll policies and procedures.
  • Collaborate with other departments to provide payroll data and insights for budgeting and forecasting.
Position Requirements
Minimum Requirements, Abilities and Expectations
  • Minimum of 5 years of experience in payroll operations, preferably in the construction industry.
  • Strong knowledge of union payroll processing and union agreements.
  • Proficiency in Vista by Viewpoint ERP software, preferred
  • Thorough understanding of payroll tax regulations and compliance.
  • Experience with certified payroll and prevailing wage requirements.
  • Excellent attention to detail and organizational skills.
  • Strong analytical and problem-solving abilities.
  • Ability to handle confidential information with discretion.
  • Excellent communication and interpersonal skills.
