Location: NYC

Seeking a detail-oriented and proactive Accounts Payable Manager to oversee the timely and compliant processing of expense payments for 200 federal, state, city, and local government grants and contracts. This role will involve reviewing, refining, and implementing procedures to ensure accurate financial reporting and compliance with all regulations and internal controls. The Accounts Payable Manager will also supervise a team of accounts payable clerks, work closely with finance leadership, and collaborate with various internal and external stakeholders.

Key Responsibilities:

  • Review, refine, and implement procedures for the timely and compliant processing of expense payments related to the Center's various grants and contracts.
  • Partner with the finance leadership team to develop and enforce internal controls, policies, and procedures for accounts payable operations.
  • Build and maintain strong relationships with staff, vendors, and other external partners, ensuring timely resolution of information requests.
  • Supervise and mentor a team of accounts payable clerks, fostering a culture of accountability, continuous improvement, and professional development.
  • Produce, review, and distribute monthly, quarterly, and annual accounts payable reports to ensure accurate financial reporting.
  • Provide financial insights to support decision-making and ensure compliance with grant and contract requirements.
  • Review monthly accounting close and flag inconsistencies or discrepancies as necessary.
  • Oversee the efficient processing of vendor payments, ensuring adherence to payment terms and compliance with all regulations.
  • Establish and maintain accurate vendor records in the financial system, ensuring proper classification and data integrity.
  • Maintain a strong financial control environment by ensuring compliance with the Center’s policies and government regulations.
  • Implement corrective actions when errors or deviations from policies are identified.
  • Ensure accurate recording of payables and cash disbursements in the financial system, and continuously monitor for errors or discrepancies.
  • Review and recommend process improvements to increase efficiency, reduce errors, and maintain compliance with regulatory and audit requirements.
  • Assist with additional finance-related tasks as needed.

Qualifications:

  • Bachelor’s degree in Accounting, Finance, or a related field.
  • Proven experience in accounts payable, accounting, or finance, with at least 3-5 years of experience in a supervisory role.
  • Knowledge of financial systems and software, with the ability to analyze and maintain data accuracy.
  • Strong understanding of government grants, contracts, and compliance regulations.
  • Excellent communication, interpersonal, and relationship-building skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong attention to detail and problem-solving skills.
  • Commitment to fostering a culture of continuous improvement and professional development.

Qualifications:

  • A Bachelor's degree in Accounting, Finance, Business, or a related field, along with 5-7 years of experience in nonprofit and/or government accounting, including managing grants and contracts, compliance, and reporting, is required.
  • Experience with Coupa and NetSuite is a plus.
  • Advanced Excel skills, including proficiency in data analysis and financial modeling, are essential.
  • Proven experience managing and mentoring a team, with the ability to delegate tasks effectively, provide constructive feedback, and drive performance in a fast-paced, deadline-driven environment.
