Our client, located in Nashville, TN, is looking for a temporary HR Administrative Assistant to join their team for 3 months (potentially longer).
This is an exciting opportunity to join a 100% employee-owned organization that is offering a 40 hour work with half days on Fridays!

The ideal candidate will be able to work their schedule of Monday-Thursday 7:30-5:30 and half days on Fridays (8-12), and have experience in UGK.

Duties:

HR Support:
  • Employee Relations:
  • Assist with employee relations tasks, ensuring a positive experience during key events such as onboarding and offboarding.
  • Support the HR team with employee engagement and general employee relations matters.
  • Assist with processing employee changes and updates in the HRIS (UKG).
  • Document Management:
  • Assist with maintaining and organizing employee documentation, including termination letters and other HR-related documents.
  • Track employee certifications and licenses, ensuring renewals are completed in a timely manner.
  • Organize, update, and distribute important HR and project-related documents for easy access and retrieval.
  • Manage submittals, RFIs, and project specifications as needed in systems like Newforma, PDM, and Submittal Exchange.
  • Ensure compliance with internal procedures by maintaining and archiving project and employee documents.
  • Administrative Assistance:
  • Provide administrative support to the HR team, including scheduling interviews, managing internal communication, and preparing HR documentation.
  • Support the team by handling incoming calls and office coordination, as needed.
  • Assist with event planning for HR-related functions such as trainings, lunches, and employee engagement activities.
  • Code invoices and handle basic financial administration as needed.
  • General Office & Reception Support:
    • Provide backup for the receptionist, ensuring smooth front-office operations.
    • Distribute mail daily and manage shipping and courier services for office materials and HR-related deliveries.
    • Other duties as needed

    Requirements:
    • High school diploma or GED equivalent; some college courses in HR, business administration, or related field preferred
    • Proven experience in administrative roles, specifically in HR or related functions
    • Proficient in MS Office suite and experience in HRIS systems, preferably UKG
